The Admin Assistant will provide efficient administrative support to the HR department by handling documentation, maintaining records, managing office resources, and coordinating communication. The role also supports the Administration Coordinator in ensuring all processes run smoothly and efficiently.
📌 Key Responsibilities
Administrative & Office Support
- Perform daily administrative tasks such as photocopying, filing, mail handling, and correspondence follow-ups
- Maintain and update manuals, records, and departmental documentation
- Ensure proper document distribution within the organisation and to external stakeholders
- Handle telephone calls and share information with relevant teams
Document & Filing Management
- Maintain an up-to-date and accessible filing system
- Monitor monthly reports and paperwork for proper documentation
- Ensure all departmental manuals reflect the latest revisions
Office Coordination
- Monitor office stationery and consumables to maintain minimum stock levels
- Ensure office equipment such as photocopiers are functional and regularly maintained
- Coordinate conference room and auditorium bookings for meetings and events
Communication & Mail Handling
- Sort and distribute incoming mail
- Dispatch outgoing documents to the correct recipients
- Maintain clear and effective departmental communication
🎓 Qualifications & Skills Required
To be considered for this role, candidates must have:
- Minimum 2 years of experience in an administrative position
- Strong knowledge of MS Word, Excel, Windows, and email systems
- Fluency in written and spoken English
- Valid UAE driving licence (where applicable)
