About the Role
The Administrator – Carpark position is an exciting opportunity for individuals who are detail-oriented, organized, and passionate about delivering exceptional administrative and customer service support. Based in Abu Dhabi, this role is responsible for managing the daily administration of parking operations, supporting HR and Finance teams, and ensuring smooth coordination across departments.
The successful candidate will play a crucial part in ensuring that parking services operate efficiently, staff records are accurate, and customer inquiries are handled promptly and professionally.
Key Responsibilities
The Administrator – Carpark will handle a wide range of administrative and operational duties to ensure the efficient running of carpark activities. Responsibilities include:
1. Administrative and HR Support
- Assist the HR team with onboarding and offboarding procedures, including the application and cancellation of airport passes.
- Maintain accurate employee attendance, duty hours, and training records.
- Collaborate with HR and management teams to ensure all staff-related documents are up to date and compliant with internal standards.
2. Customer Service
- Serve as the first point of contact for customer inquiries related to parking services.
- Provide courteous and professional responses to queries, resolving issues or redirecting them to relevant departments.
- Maintain strong communication channels to ensure consistent customer satisfaction.
3. Data and Record Management
- Manage databases and spreadsheets related to parking operations, memberships, and revenues.
- Regularly update and verify data to ensure accuracy and reliability.
- Compile and submit daily, weekly, and monthly operational and financial reports.
4. Financial Administration
- Support the Finance Department in tracking budgets, processing purchase orders, and managing invoices.
- Assist with preparing expense reports and reconciling financial data.
- Monitor parking membership fees and ensure timely submission of revenue updates.
5. Office Coordination
- Maintain an organized filing and documentation system to ensure easy access and compliance with internal record-keeping policies.
- Schedule meetings, manage calendars, and coordinate with management teams for presentations, memos, and official documents.
- Handle incoming and outgoing communication (emails, mail, phone calls) with confidentiality and accuracy.
6. Health, Safety, and Compliance
- Support the implementation of safety policies within the parking facility.
- Liaise with internal and external stakeholders, including vendors, to support operational efficiency.
- Participate in developing and updating office and operational policies as required.
Qualifications and Experience
Education:
- High school diploma or equivalent required; a diploma or degree in administration or business management is a plus.
Experience:
- 0–2 years of relevant experience in an administrative or operational support role, preferably within a facilities or parking services environment.
Key Skills and Competencies
- Strong organizational and multitasking skills, with the ability to manage competing priorities efficiently.
- Professional communication and interpersonal abilities for interacting with team members, customers, and stakeholders.
- Accuracy in data entry, record-keeping, and reporting.
- Basic knowledge of Microsoft Office (Excel, Word, Outlook) and database management tools.
