Job Context
As an Office / Administrative Assistant, you will play a key role in ensuring smooth front-office operations and providing efficient administrative support. This position contributes to effective communication, employee assistance, and the overall daily functioning of the organization.
Key Responsibilities
- Serve as the first point of contact for visitors, clients, and vendors, ensuring a professional and welcoming environment.
- Manage reception duties, including answering and directing calls, handling inquiries, and taking messages.
- Process employee requests and provide accurate information.
- Coordinate and schedule meetings and appointments.
- Provide administrative support to departments and managers, including data entry, filing, and document preparation.
- Coordinate with vendors and service providers for office supplies, maintenance, and services.
- Prepare purchase requests, follow up on quotations, and manage order processing.
- Track invoices and coordinate with the finance team for payments and documentation.
- Ensure smooth office operations by monitoring supplies, equipment, and housekeeping needs.
- Liaise with building management for maintenance, renewals, and employee-related issues.
- Coordinate daily schedules with drivers and office assistants.
- Handle incoming and outgoing mail, packages, and deliveries.
Candidate Profile & Skills
- Bachelor’s degree in Business Administration or equivalent.
- 3–5 years of relevant experience in a similar administrative role (corporate experience preferred).
- Strong knowledge of Microsoft Office applications.
- Excellent communication and interpersonal skills.
- Strong organizational skills with attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information.
- Flexible, adaptable, and capable of working in a fast-paced environment.
